Client User Roles: Levels + Definitions
This page is “all things client”. Three main informational pieces are found here, in the order listed below:
- Screenshot Examples of Level 1 - 4 User Profiles. Please do not use these to set up your clients' user levels. These screenshots are meant to be a tool to help you determine which level your client will need, so you can pass that info to Customer Solutions. CS will continue to set up all users. (Click here if you need to know how to submit user roles.)
- Special Request Roles - These are additional roles not included in any of the profiles. You will ask for these when you turn in your user level requests to Customer Solutions.

Level 1: Customer Service
Typically for logistics personnel / sales / customer service - anyone who will actually be shipping a load by creating a BOL.
LTL Rate Quote ONLY, BOL View (non-edit)
Level 2: Freight Managers
Typically for freight managers / sales / purchasing - anyone who needs to see the carrier invoice.
LTL Rate Quote, BOL Management (Viewing and Creating BOL)
Level 3: Accounting
Typically for finance / accounting / management personnel - anyone needing to see batched invoices in a one week period to be paid to FreightWise.
LTL Rate Quote, BOL Management, Single Freight Invoice view/edit
Level 4: Executive Managers
Typically for executive management and project managers.

*Customer Service Role will allow the user to search but not edit in the FW system. The user will see BOLs, Shipments, Picks, LTL Quotes, etc.
|"GREEN" = Every Customer Needs|
|BOL||Allows viewing of BOL history, as well as creation of a BOL using a carrier that isn't an option (including a broker or hotshot) when creating a quote.|
|Carrier Payment||Allows client to see whether or not a carrier invoice has been paid.|
|Claims||Allows client access to the "Claims" tab on the left side toolbar. From here, they can view and file (start) claims for their company. They can also view claims FW has filed on their behalf. (If FW files for them, the cost is $25 per claim.) This does NOT give a client the ability to make changes to a claim. (Only FW employees can do this.)|
|Client Invoice||Allows a client to view their weekly FW invoice.|
|Client Invoice Mgmt||Allows client to view, reject, or accept an invoice.|
|Dashboard Excel||Allows a client, when they use the print button, to download stats/info from their dashboard to an Excel spreadsheet.|
|Dashboard View||Allows a client to view dashboard; one step up from "User" role.|
|Freight Invoice||Allows client to see their company's carrier invoices.|
|Insurance (Client)||Allows a client to put insurance on a shipment.|
|Insurance Quote||Allows a client to initiate receiving an insurance quote.|
|LTL Quote||Allows a client to create an LTL quote.|
|PRO# Mgmt.||Allows a client the ability to load carrier pro#s for their company.|
|Quote Email Button||Allows a client the ability to send/share a copy of a quote they requested to another user (within their same company) for consideration.|
|Report View||Allows a client access to the "Reports" tab in the left hand toobar, where they can view all their company's reports.|
|Show Recent Quotes||Shows recent quotes.|
|Spot Quote||Allows a client ability to create spot quotes, which is good for multiple stop shipping.|
|Tracking||Only for those with API setup, this allows a client the ability to track packages from within a BOL. (For those without API setup, this is a manual process.)|
|User||After logging in, allows client "view only" access to FW system.|
|"YELLOW" = Optional|
|BOL Notifications||Allows a client to assign users (within their company) who will receive notifications of different BOL stages. This is done when the BOL is created.|
|Commodity Mgmt.||Under Admin/Co. Mgmt: Gives the client ability to add commodities (goods being shipped) and their descriptions. ADs should do this, vs. clients, who often put the wrong class.|
|Customer Service||Allows a client a read-only view of most things in the system related to them. The role will allow the user to search but not edit in the FW system. The user will see BOLs, Shipments, Picks, LTL Quotes, etc.
(This was a function originally created for a specific company, but it can be applied to other companies via special request at setup of user level.)
|Parcel||Allows a client to view their company's parcel history.|
|Parcel Quote||Step up from Parcel. Allows a client to create a parcel quote.|
|Quote Show True Cost||Allows a client to see true cost (how much FW is charged).|
|Shipment||Allows a client to create a single shipment, using the "New" button above the shipment grid panel. (Generally shipments are imported or created via APIs, but in some cases users might need to create single shipments.)|
|Trk & Trace||Only for those with API setup, this allows a client access to the "Track & Trace" tab on the left side of the toolbar. Once accessed, clients can see tracking of packages.
(For those clients without API setup, this is a manual process.)
|"ORANGE" = Rare|
|Allow Res. LookUp||This role is currently under development. In the future, this will allow a client to check if a location / address is considered a residence, and then use that information to auto-assign accessorials to BOLs and Shipments.|
|Create Shipment||In BOL - Allows a client to create a shipment from within the quote (like Ship It button).|
|Markup View||Allows a client to see their mark up (how much we're charging them).|
|Picker / Picks||Allows a client ability to edit their "pick list".|
|Printer Mgmt.||Allows a client ability to assign printers of their choice to work with FW system.|
|Pro-Forma Invoice||Allows a client to generate an invoice based on a BOL. This helps with accounting purposes, when a client wants/needs to know the cost of a shipment in advance. The reason this might be necessary is when one of our client's customers wants to see their actual freight invoice before paying. The Pro-Forma Invoice allows our client to send a freight cost invoice, with mark-up, to their customer. This is rare, but it does happen.
Example: Freight costs are $130, but our client wants to charge their customer $170. With the Pro-Forma role, an invoice can be created for $170 that our client can then send to their customer, so that their customer pays the invoice.
|Shipment Merging||Gives client the ability to merge two or more shipments together.|
|Ship It Button||Allows a client to create a BOL by clicking "Ship It" under Quote. It will then go from Quote status to BOL status.|
